Project Overview and Role

Data.FI, a five-year project funded by the U.S. Agency for International Development (USAID), aims to support HIV and COVID-19 response efforts by enhancing access to high-quality data. The project accelerates progress in controlling and sustaining epidemic management through in-depth data analysis at various levels—from global to community-based. Data.FI collaborates with host countries to strengthen Health Information Systems (HIS), enabling better response to program gaps and ensuring long-term impact by fostering local partnerships.

Position Purpose

Palladium is hiring a Travel and Logistics Assistant to handle logistical duties, including arranging transportation, flights, and accommodations for both domestic and international travel needs. This role ensures the efficient management of Palladium Data.FI’s fleet and hired vehicles, supporting cost-effective and smooth logistical operations. The Travel and Logistics Assistant reports to the Finance & Admin Officer, and the position is full-time with a one-year contract, renewable based on funding availability.

Primary Duties and Responsibilities

  • Assist the Finance & Admin Officer with coordinating travel arrangements, including liaising with vendors, travel agencies, car rental companies, and hotels.
  • Maintain and update travel requests in Palladium’s Journey Management system, reporting approvals to the Line Manager.
  • Arrange airport pick-ups and drop-offs for local and international staff and consultants, providing them with necessary contact information and a local phone pre-loaded with key emergency contacts.
  • Manage the vehicle schedule for the Abuja office team and visiting staff, ensuring efficient transport provisions.
  • Tag assets, update inventory records, and assist with processing vendor payments for travel expenses.
  • Oversee vehicle logs and maintenance, including fuel and consumables, and report regularly for replenishment.
  • Support office supply maintenance and replenishment as needed.
  • Perform additional duties as assigned.

Required Qualifications

  • Bachelor’s Degree in Arts, Administration, or Social Sciences.
  • 1.5–2 years of prior work experience, including at least six months in a logistics or travel-related role.
  • Knowledge of USG procurement rules and regulations.
  • Ability to work effectively in a fast-paced environment, with excellent communication, organizational, and multitasking skills.
  • Proficiency in MS Office Suite, particularly Excel and Word.
  • Strong record-keeping skills and attention to detail.
  • Advanced proficiency in spoken and written English.
